One House Social Club ("One House," "we," "us," "our") is a London-based events and community platform. This policy explains how we collect, use, and protect your personal data when you interact with us — including through our website, mobile app, WhatsApp community, mailing list, ticketing platforms, forms (Tally), events, and any analytics or community tools we use.
This policy applies wherever it's linked from, including our website, app, ticketing pages, and sign-up forms.

Operate and improve our mobile app and community platforms
Manage the WhatsApp community and enforce community guidelines

Understand how our community engages with events, so we can improve what we offer
Meet legal and regulatory obligations (e.g. age verification, fraud prevention)
Share relevant partner/sponsor offers, only where clearly disclosed and, where required, with your consent
Legal basis: We rely on consent (e.g. marketing emails, WhatsApp membership), contract (e.g. processing your ticket purchase), and legitimate interests (e.g. improving our services, community safety) as appropriate under UK GDPR.
4. Third-Party Platforms We Use
We work with a number of third-party platforms to run One House. This list isn't exhaustive, but includes some of the key platforms we use, each of which has its own privacy policy governing data processed on their systems:

We only share the data necessary for each platform to perform its function (e.g. your name and email for ticketing). We do not sell your personal data to third parties.
5. Analytics, Insights & Community Data Tools
We use analytics and data tools to help us understand our community better — for example, engagement trends, attendance patterns, event popularity, and how people move through our website, app, and communications. This helps us plan better events and improve the experience for our community.
This may include, now or in future, website and app analytics tools, email engagement tracking (e.g. opens and clicks via Mailchimp), social media insights tools, CRM or community management software, and internal reporting or dashboard tools. As we adopt new tools for this purpose, this policy is intended to cover them, and we'll update the specific tools referenced in Section 4 where appropriate.
Where possible, we use aggregated or anonymised data for this kind of analysis, rather than looking at individuals. We do not use these tools to make decisions about you that are based solely on automated processing and that have a legal or similarly significant effect on you.
6. Marketing & Social Media
We may run marketing or promotional activity through email and social media platforms such as Mailchimp, Instagram, TikTok, and LinkedIn. Where we use tracking technologies on our website to measure the effectiveness of this activity (for example, pixels or conversion tracking), this is covered under Section 9 (Cookies).
If you engage with our content on social media (likes, comments, follows), that platform's own privacy policy governs how they process your data — we don't control this.
7. Brand Partnerships & Sponsors
We occasionally run events or promotions in partnership with brands and sponsors. Where this involves sharing your data with a partner (for example, for a co-branded giveaway or partner-hosted session), we will make this clear at the point of collection and will only do so with your consent or another valid legal basis. We do not share your full community/member data with sponsors as a matter of course.
8. Event Photography & Filming
We often take photos and videos at our events for use in marketing, social media, and community content. By attending a One House event, you acknowledge that you may appear in this content. If you'd prefer not to be photographed or filmed, please let a member of the team know at the event.
9. WhatsApp Community
Joining our WhatsApp community means your phone number is visible to other group members (this is inherent to how WhatsApp groups work — it's outside our direct control). We are not responsible for how other members use information shared within the group. Please be mindful of what personal information you choose to share there. You can leave the community at any time.
10. Data Retention
We keep your data for as long as necessary to fulfil the purposes outlined above, typically:
Mailing list data: until you unsubscribe or request deletion
Ticketing/transaction records: as required by UK tax and accounting law (typically 6 years)
App account data: until you delete your account
Enquiry/support records: up to 24 months
11. Your Rights
Under UK GDPR, you have the right to:
Access the personal data we hold about you

Request deletion of your data ("right to be forgotten")
Object to or restrict certain processing
Withdraw consent at any time (e.g. unsubscribe from emails)

Some of our third-party providers (e.g. Mailchimp, WhatsApp) may process data outside the UK/EEA. Where this happens, we rely on their compliance with UK GDPR safeguards, such as Standard Contractual Clauses.
16. Business Transfers
If One House Social Club Ltd is involved in a merger, acquisition, restructuring, or sale of assets, your data may be transferred as part of that transaction. We'll notify you if this results in a change to how your data is handled, and this policy will continue to apply until updated.
17. Governing Law
This policy is governed by the laws of England and Wales. Any disputes relating to it will be subject to the exclusive jurisdiction of the courts of England and Wales.
